Confirmation, reminders, and a booking experience that feels real all earn the show.
A no-show is a paid ad, a qualified lead, and a slot of your time, all wasted at once. Most no-shows aren't bad-faith — they're leads who booked on impulse, lost the calendar event in their inbox, or got distracted on the day. A few moves can swing the show rate up significantly.
The confirmation email matters more than you'd think
When a visitor books, the confirmation email is what makes the appointment feel real. The default copy works, but a few touches do more:
Tell them what to expect on the call. A short agenda makes the lead show up prepared and remembers them they're meeting a real person.
Tell them how to prepare. "Bring one specific question you want answered" gives them something to do, and a reason to show up.
Include a direct line to you. A reply-to address or a way to reach you if they need to reschedule keeps the lead from ghosting when their plans change.
Use reminders, and use them wisely
Ambit fires automatic reminders as the call approaches. The right cadence does the work:
One reminder the day before. Re-anchors the call.
One reminder shortly before the call. Catches the lead at the moment they're deciding whether to actually show up.
More than that risks annoying the lead. Less than that and the appointment fades from their attention.
Make rescheduling one click away
A lead who can't reschedule and doesn't want to no-show will sometimes ghost out of guilt. A clear reschedule link in the confirmation email lets them move the call instead of skipping it. A rescheduled call is a call you keep.
Ask for a small commitment up front
Leads who give a phone number, a payment, or a written response have more skin in the game than leads who only gave an email. If your show rate is low, consider adding one of these to the booking step. The bookings you get will be fewer, but the shows will be higher and the calls will be better.
Where to go next
How do I improve the fit of the calls I book?
How do I find where leads drop off?
